A recent study by InterCall – one of the world’s largest conference call companies and one of Global Lingo’s clients – showed that, although you may have many people on your call, not everyone is giving their full attention.
The survey results show the things people regularly do while supposedly concentrating on your conference call. From the figures, you can see that some are even doing several other things at once:
1. 65% do other work
2. 63% send emails
3. 55% eat or make food
4. 47% go to the toilet
5. 44% are texting
6. 43% are checking Facebook, Twitter, Instagram etc.
7. 25% play video games
8. 21% are shopping online
9. 9% are working out
10. 6% are on another call
In addition to these, 27% admitted to falling asleep during a call!
How can you ensure your conference calls aren’t slept through?
Global Lingo’s Professional Writing Team cover lots of conference calls for our customers, ensuring that all the details are recorded as either Transcripts or Minutes. In our experience, there are lots of things you can do to improve your calls – most are common sense but do take a little planning.
- Ensure your attendees have the correct details for the call e.g. time, media (phone, Skype, Lync, GoToMeeting etc.), login details, passwords.
- Ensure a calendar invite is sent to all attendees.
- Only invite people who really need to be on the call.
- Circulate an agenda at least one day prior to the call.
- Test your audio visual equipment before the call.
- Are your microphone and speakers working properly?
- Is your video clear?
- Are there any issues with the internet connection?
- Does your mobile have enough charge?
- Check your visual aids are okay. There’s nothing worse than a PowerPoint which breaks in the middle of a meeting.
- Set the scene. Before launching into the call, take a few minutes to ensure everyone on the call is introduced.
- Record the call or video conference so that people can refer back at a later date.
- Ensure an accurate transcript or minutes document is circulated shortly after the end of the call so that all the pertinent points are clear to the attendees. We can of course help you with this part.
